Vernon Filley Art Museum Seeks Operations, Visitor & Member Services Coordinator

Part-Time | Approximately 15 Hours per Week | On-Site

The Vernon Filley Art Museum is seeking a dependable, welcoming and organized individual to support the museum’s day-to-day operations, gift shop, visitor experience, membership services and facility rentals. This position is designed to provide consistent operational support for a growing museum and to help ensure that visitors, members, renters and community partners receive a warm and professional experience. The position reports directly to the Executive Director.

Primary Responsibilities

Visitor Services & Front Desk

  • Open and close the museum as scheduled.
  • Greet and assist museum visitors.
  • Provide basic information about current exhibitions, programs and upcoming events.
  • Answer phones and respond to general visitor inquiries.
  • Help maintain a welcoming, organized and professional museum environment.

Member Services & Administrative Support

  • Assist with membership record entry in Little Green Light, renewals, donor acknowledgments and basic data entry.
  • Prepare mailings, membership materials and other administrative correspondence.
  • Assist with maintaining accurate visitor numbers, member and program records.
  • Provide general clerical and administrative support to the Executive Director.
  • Assist as needed with support for school tours, photographing events and social media in collaboration with the Program Manager.

Gift Shop

  • Operate the gift shop and register.
  • Assist visitors with purchases.
  • Become familiar with merchandise and consignment artists and serve as staff liaison to the Gift Shop Committee.
  • Help maintain inventory, displays and organization.
  • Assist with gallery artwork sales as needed.

Facility Rentals & Event Coordination

  • Serve as a point of contact for facility rentals as assigned.
  • Assist with scheduling, renter communication, basic event coordination and setup.
  • Help prepare museum spaces before rentals and events.
  • Open and/or close the building for rentals when scheduled.
  • Assist with event setup, cleanup and facility needs.
  • Help ensure rental policies and museum procedures are followed.

Museum Operations

  • Assist with routine building operations and opening/closing procedures.
  • Help monitor galleries and public areas.
  • Support staff during museum programs, receptions and special events.
  • Maintain basic supplies and help identify operational needs.
  • Assist with other day-to-day museum tasks as assigned.

Schedule

Approximately 15 hours per week, with a regular weekly schedule to be determined. Availability during museum operating hours is required. Some evening and weekend availability will be needed for facility rentals, programs and special events. Additional hours may occasionally be available during major events or busy periods.

Essential Functions/ Preferred Qualifications

  • Interest in art, the future progress of the museum, and a willingness to learn additional administrative and programming aspects of museum operations. Interest in community service is appreciated.
  • Sales or customer service experience with superior interpersonal skills is preferred.
  • Must be available some Saturdays from 1:00–4:00 p.m., and available between 9:00 a.m. and 3:00 p.m. Tuesday through Friday during museum operating hours, with some evening and weekend availability.
  • Comfort with computers, including Macintosh operating systems and Microsoft Office programs such as Excel and Word; familiarity with social media and web platforms. Experience with design programs such as Adobe Photoshop and Canva is a plus. Experience with CRM or donor management systems is a plus.
  • Additional hours may be available for this employee during busy periods, rentals and special events.
  • Knowledge of museum standards and best practices, including AAM and AAMD guidelines, is preferred.
  • Familiarity with DEAI (Diversity, Equity, Accessibility and Inclusion) principles in museum work is appreciated.
  • Ability to handle multiple responsibilities in a small nonprofit environment.
  • Previous experience with events, hospitality, retail, visitor services or nonprofit organizations is a plus.

Physical / Operational Requirements

  • Ability to move throughout the museum and assist with light event setup.
  • Ability to occasionally move chairs, tables, boxes and supplies.
  • Comfortable working independently in the museum when needed.
  • Must be available for occasional evenings and Saturdays.

Compensation & Application

Compensation: This is a part-time, hourly position at $20 per hour, paid monthly. This position does not include health insurance or other benefits.
Start Date: ASAP. Position will remain open until filled.
